The Outreach Cadence

Same process for every account. Day 0 is one email from the assigned owner with one clear ask. What happens after that depends on how they respond.

Day 0, every account. One email, one signal-based hook, one ask (a 15-minute call). No attachments, no long pitch. The four branches below start counting from this send.

Opens & Replies Positively

The best case. Move fast, keep it human.
  1. 1Reply within 24 hours. Thank them, propose 2-3 concrete call times.
  2. 2Attach one relevant one-pager, matched to their sector, not a generic deck.
  3. 3Loop in the relevant specialist (real estate, talent, managed services) as a warm intro, not a cold cc.
  4. 4Send a same-day recap after the call, with the agreed next step and a date attached to it.

Opens, Replies "Not Now"

Respect the timing. Don't argue with it.
  1. 1Acknowledge the reply within 24 hours, briefly.
  2. 2Ask permission to check back at a specific point they've hinted at (a hiring phase, a budget cycle, a quarter).
  3. 3Log the account with that exact re-engagement date. No further emails until then.
  4. 4Re-open only if a new signal fires earlier (leadership change, expansion news), treated as a fresh Day 0.

Opens, No Reply

They saw it. Give them a reason to answer.
  1. 1Day 4-5: Follow-up 1. New angle or proof point, one easy question to answer.
  2. 2Day 10-12: Follow-up 2, switch channel. A short LinkedIn message from the same sender, referencing the email.
  3. 3Day 18-20: Soft breakup email. Ask directly if it's worth reconnecting, or if the timing's off.
  4. 4Day 25+: No reply after three follow-ups moves to passive quarterly nurture, re-triggered only by a new signal.

Doesn't Open At All

The email likely never landed with the right urgency. Change the entry point.
  1. 1Day 4: Resend with a new subject line and a different specific hook, sent at a different time of day.
  2. 2Day 8: Switch channel entirely, a LinkedIn connection request with a short note, or a call if a number is on file.
  3. 3Day 15: Still nothing, deprioritise to a monthly signal check rather than continued outreach.
  4. 4A new trigger (news, hiring, leadership change) restarts the whole cadence at Day 0.
